Professional Communication Skills in ICT Communication Model

Question: Describe about the Professional Communication Skills in ICT for Communication Model. Answer: Introduction The article will initially be discussed from the perspective of the communication model. Later sections will provide more detailed analyses of the message, organisation and sources. In this section, the article will be analysed using the communications model discussed in Week 1; illustrated below. In particular, problems with the audience, the channel and the feedback mechanisms will be highlighted. The main issue with the article from a communications perspective is that the context of the authorship of the article forced it to be written for the wrong audience. The article was written by a software company KPMG, CIO Advisory Technical writer. The audience of the article is the course lecturers and fellow students. However, the main purpose, or message, of the article is to convince the audience to understand the Cloud Economics, business proposal. Channel interferes with the message, causing significant attention to the audience. The Document is distributed as a formal proposal through company office. The Company KPMG officially uses this document as a business proposal to get the business from other companies. The author of the document has not provided any detail for gathering feedback from his audience. This means that the author has no way to determine if his message is interpreted as he intends. Analysis of Business Proposal Message The choice of language in the Business proposal is easy, but if more simplicity be implied then the level of understanding the document can be better. For instance in the proposal it is stated Capacity hoarding occurs primarily as a result of organizations not being able to accurately forecast their future capacity needs coupled with the typically long lead times to provision new infrastructure. This statement can be simpler, the author must have explain this detail by giving some suitable example. Another issue that is lacking is of symmetry. In the whole document at some places the green headings are used and somewhere blue colour is used. Another issue is that the alignment of the content is kept left at some place and right at another place. Another issue that is to be mentioned is the lack of details , the document is very well written but even though while going through complete document certain informations seem to be missing, such as the document has not given a brief discussion over Cloud computing , it has given its advantages , usability areas only. The document does not give cost and budget detail of the Cloud implementation in more detail, it is just highlighting the cost, which is the most important to know for any company looking for Cloud implementation in their organization. The document also does not give any information about customer testimonials, how many customers till now the company has served. If more real site pictures and diagrams must have been inserted in the document then definitely the understanding of the document must be far better. The proposal also lacks the detail of the KMPG Company, the description of the offering given by the company can be more descriptive. Analysis of Documents Organisation The document is in the logical- order as well structure. The theses of the paragraphs are as follows: The first paragraph describes the attractive features of the cloud computing. Second paragraph discusses the business and IT Benefits through cloud computing. Third paragraph describes the diagrammatic representation of the Cloud Run-Rate Economic Advantage. Next paragraph describes the benefits of the Total cost of ownership projections. Next paragraph describes the challenges for the adaption of modern infrastructure in IT companies to face the cutting edge competition and how the implementation of Cloud Computing environment can help in better working of the company. Next Paragraph elaborates the different options available for selecting from various services. Next Paragraph describes the features of the Public Cloud Adoption. Next paragraph describes the six trigger points of the benefits of the utilization of the Cloud Environment through diagrammatic representation. Next paragraph describes the complications involving for the investment in the Cloud computing environment. Next paragraph diagrammatically gives the key factors of the selection criteria. With this the paragraph also gives the selection criteria for the technology for in house business. Next paragraph gives the KMPG approach- The Phase Approach. Next paragraph gives the steps of the Mapping of the Existing Assets to Cloud Vendor Services. It also gives the diagrammatic representation. Next paragraph gives the Comparative Cloud Cost Projection Model for cloud computing diagrammatically. In the next paragraph it is elaborated how KMPG can help in implementing the cloud services and what benefits and strategy they are offering. Analysis of Documents Sources The majority of the articles sources have little authority: they were written for a general IT audience, with little to no peer review. All the sources mentioned in the Document claim that these details are collected by the KMPG analysis. There are no sources of any major Magazine report or Company detail. Unfortunately, the majority of the arguments made by the author were not as well supported by credible sources. The articles sources do not have adequate coverage of the issues related to the Cloud computing. Still this report is well written and gives sufficient information in a simple language. If certain details that are lacking as mentioned above in the report be fulfilled, this Business Proposal will be a remarkable Document indeed. Conclusions This Analysis report was a simple review of the Business Report on the Cloud Economics: Making the Business-Case for Cloud by KMPG. This business report was very well written in a simple understandable language. The purpose of this report was to give the information about the Cloud Environment, its benefits and most importantly the facilities and services offered by the KMGP. Though this report was very well written but there are several sections that require amendments and there are also areas that have more scope of detail so there is also requirement of giving extra details of that sections. Overall this report is well written but still has scope of improvement. Recommendations Based on the analysis, several recommendations to improve the Document can be made: The Document should include more credible sources. The only credible source used by the article is the analysis detail of KMGP itself. Referencing additional credible sources would strengthen the logos and ethos aspects of the Documents arguments. There are several sections that require more detail. The report should give more detail on the description of the Cloud Environment. The layout of the report has also scope of more improvement. The referencing should be improved. More real implementation pictures should be included. The testimonials of the companies for which the service is provided must be included. If the current channel is to be retained, feedback opportunities could be improved by the provision of an email address and the inclusion of an invitation for questions and comments from the reader. The message should be rewritten to focus on logos style arguments and language. As discussed earlier, the choice of language and argumentation strategies increases the passion of the message. Given the hostile relationship between source and receiver, it would be preferably to reduce the pathos aspects. Self-Analysis of Report In this section, this report will be analysed from a communications perspective. Several of the Assignment 1 marking criteria will be specifically addressed, namely structural integrity and organisation, arguments and rhetorical appeals, and style/voice. The Assignment 1 includes the marking criterion of structural integrity and organisation. Overall, the analysis of Section 3 is reasonably well structured, going from overall discussion of the communication model to more detailed discussions of, e.g., the message, the organisation and the sources of the article. The structure was foreshadowed using the introduction of Section 3, i.e., In this analysis, the article will initially be discussed from the perspectives of the communication model. This will be followed by more detailed analyses of the message, organisation and sources. Headings were also used to reinforce the structure. The Assignment 1 criteria also includes arguments and rhetorical appeals. One argument provided in this report is deconstructed below: .Claim: .Cost Savings May Be Significant Data: Business and IT Benefits Go Beyond Cost Warrant: To link the claim and the data, this report used an analogy as its argumentation strategy: Arguing a topic is like playing cricket. In its present state, the article has batted and defended the authors position. However, the author also needs to bowl over the opponents arguments. The article would be strengthened by including these arguments and providing counter-arguments the author needs to bat and bowl his way to a winning argument. Another marking criterion of Assignment 1 is style and voice. This report addresses this criterion through the choice of language: this report provides constructive criticism to the author in a more palatable form.
